Overall Job Objective

POSITION SUMMARY

The purpose of this position is to provide administrative and clerical support in the processing and issuance of permits and contractor registrations.  This is accomplished by reviewing applications, maintaining records, assigning scheduled building inspections, overseeing the issuance of trade permits, and assisting property owners, contractors, architects and the public.  Other duties include answering phones, accessing the building, floodplain, zoning, and development codes, and scanning and copying documentation.

 

ESSENTIAL FUNCTIONS

  • Accepts and reviews permit applications by responding to inquiries; reviewing permit applications for residential and commercial construction and floodplain development; ensuring plans/applications tracking and adherence to timelines; ensuring phase submittal documents are uploaded to the portal by permit holders; ensuring submittals fall within the correct classifications and categories; and collecting money. 
  • Issues permits and Certificates of Occupancy by reviewing the scope of work to be performed; 
  • Verifies the contractor is registered with the City; 
  • Obtains customers’ information to assist with completing applications in the portal; 
  • Collects permit fees; 
  • Schedules inspections for Certificates of Occupancy; and 
  • Sends copies of Certificates of Occupancy to the Water/Billing department.
  • Provides customer service by answering and routing phone calls; 
  • Providing customer assistance at the front desk; 
  • Directing customers to appropriate departments; and 
  • Downloading, uploading, filing and maintaining information received.
  • Provides cashier assistance by collecting revenues from permits and registrations; logging money; sending money to the finance department; and preparing paperwork and reports.
  • Assists the Development Services Department by maintaining tracking logs; 
  • Maintaining contractor registration and insurance status; 
  • Providing clerical support; 
  • Updating the database with inspection results; and 
  • Updating public notices, permit applications in the portal, and other paperwork.
  • Performs other duties as assigned.

REQUIRED QUALIFICATIONS

  • Documentary evidence of graduation from an accredited high school or successful completion of the General Educational Development (GED) Test
  • One (1) year paid full-time administrative or clerical experience including customer service support functions

LICENSES, CERTIFICATES, AND OTHER REQUIREMENTS

  • Valid Driver’s License
  • Appointment will be conditional upon successful completion of the following pre-employment checks:
  • Criminal background check
  • Controlled substance screening
